What Is Practice Management Software for Chartered Accountants?

By the MyPract team Updated 7 min read

Short answer: Practice management software is the system a chartered accountant's firm uses to run itself: client records, engagements and recurring compliance, task allocation, time tracking, billing, documents and client communication in one place. It does not keep clients' books or file returns. For an Indian CA firm, the useful extras are DSC custody, UDIN records, GST or Income Tax portal data, India hosting and rupee pricing.

Last updated 22 October 2026. Written for CA, audit and tax firms in India. MyPract is our product, so where we use it as an example we also say what it does not do.

A CA firm sells time and judgement. Every audit, GST return, tax audit and ROC filing is a piece of work with a client, a deadline, a reviewer and a fee. Most firms start by tracking this in Excel, a diary and WhatsApp groups. That works until two people update the same sheet, an article assistant leaves mid-season, or a partner asks how many hours the last statutory audit really took.

Practice management software replaces those scattered records with one shared system. For a ranked list of tools, see our guide to the best practice management software for CA firms.

What does practice management software do for a CA firm?

It answers four questions a partner asks every week:

  1. Who are our clients, and what do we do for each? One client record with PAN, GSTIN, contacts, services and history.
  2. What is due, and who is doing it? Engagements and tasks with an owner, a due date and a status, visible to the whole team.
  3. How much time did it take, and did we bill for it? Time records that feed invoices, so effort turns into fees rather than write-offs.
  4. Where are the documents and the client's messages? Files, versions and requests attached to the engagement they belong to, not lost in email or chat.

Everything else (reports, roles, a client portal, AI help) supports one of those four.

What are the core modules?

Module What it does Why a CA firm needs it
Clients One record per client with tax IDs, contacts, tags and status Ends duplicate client lists across partners and staff
Engagements A piece of work (audit, GST, tax audit) with a client, manager, dates, budget and fee Lets you see every assignment and its progress in one view
Tasks and workflow Tasks with assignee, due date, subtasks, dependencies and checklists Makes recurring compliance repeatable and reviewable
Time tracking Timesheets or a timer, billable flags, approvals Shows the real cost of each engagement and supports billing
Billing Invoices from recorded or approved time, or fixed fees Shortens the gap between finishing work and raising the invoice
Documents Folders by client and engagement, versions, preview Keeps working files and client uploads with the work
Client portal A secure place for clients to upload files and send messages Cuts document chasing on email and chat
Reports Utilisation, overdue work, engagement budgets Tells partners where time and money are going
Roles and permissions Partner, manager, staff, article and client access levels Limits who sees fees and confidential files

What India-specific features should a CA firm look for?

Global tools built for US or UK firms cover the core modules but often miss what an Indian practice deals with daily:

  • DSC register. Firms often hold clients' Digital Signature Certificate tokens. A register records who holds each token, its expiry and which filings it was used for.
  • UDIN records. ICAI requires a Unique Document Identification Number on certificates (from 1 February 2019), GST and tax audit reports (from 1 April 2019) and all other attest functions (from 1 July 2019).[1] UDINs are generated on ICAI's portal; some practice tools keep a log of them against the engagement.
  • GST and Income Tax portal data. Some tools read filing status, notices and ledgers from the government portals and turn them into tasks. This is different from filing, which happens on the portal or through software registered with the Income Tax Department as an e-Return Intermediary.[2]
  • Rupee pricing and GST invoices. Prices in rupees avoid forex charges and surprise renewals.
  • Data hosting and privacy. Client data includes PAN, Aadhaar-linked records and financials. The Digital Personal Data Protection Rules, 2025 were notified on 14 November 2025, with an eighteen-month period for phased compliance.[3] Ask every vendor where data is stored and how a breach would be reported.

No single tool does all of these well. Jamku, for example, offers Income Tax, GST and TRACES sync and UDIN tracking through its separate Jamku Portal product (see MyPract vs Jamku), while Zoho Practice is strongest for firms whose clients use Zoho Books (see MyPract vs Zoho Practice).

Who needs practice management software, and when?

There is no fixed size at which a firm must switch. These signs usually mean the spreadsheet has run its course:

  • More than one person updates the work tracker, and versions conflict.
  • Due dates are tracked in a partner's head or diary.
  • Nobody can say how many hours an audit took against its fee.
  • Invoices go out weeks after the work is done, or not at all.
  • Client documents arrive on three channels and nobody knows which version is final.
  • An article assistant or manager leaves and their work status leaves with them.

A sole practitioner may never need more than a good calendar. A firm of three to five people with a mix of audit and recurring compliance is usually where the time saved starts to exceed the cost.

How much does it cost?

Pricing models vary more than features. Typical published structures:

Pricing model Example (published list price, excl. GST)
Flat fee for a small team, then per-user bands in rupees MyPract: ₹12,000/year for the first 5 users, then ₹4,800 per user for users 6–30 and ₹4,000 per user for users 31+ in India; Startup $189/year for up to 5 users, Growing $49 and Enterprise $39 per user per year outside India
Per user per year in rupees Jamku: ₹1,300 per user a year on its Growing tier (comparison)
Per organisation per month, plus per extra user Zoho Practice Standard: ₹2,950 per organisation a month billed annually, up to five users (comparison)
Per user per month in US dollars Karbon: US$59 to US$89 per user a month (comparison)
Quote only CCH iFirm (comparison)

Look past the headline: setup fees, consulting, storage, add-on modules and whether client portal users are charged. Every figure above is in our side-by-side comparisons.

Where does MyPract fit?

MyPract is one example: a global, AI-native practice management platform for accounting, audit, tax and advisory teams, from a solo practitioner to firms of more than 30 people, built for cross-border teams and clients. It covers clients, engagements, tasks with subtasks and dependencies, time with manager approvals and period locks, invoices from approved billable time in each client's currency, documents, a free client portal and an activity log, with an AI assistant that answers from every module and acts only after you confirm, bound by the same six roles as people. For Indian work it adds a DSC register and read-only GST portal data, and Indian firms are billed in rupees. Data domicile by country: a paying firm outside India gets its own instance in its country, so its database, files and server functions stay in-country. Today, with customers in India, everything runs in Mumbai (AWS ap-south-1) through Supabase. All modules come on every plan; the features page lists them.

It is not the right fit for every firm. MyPract does not file returns, sync with the Income Tax or TRACES portals, track UDINs, offer native mobile apps, collect payments or integrate with Tally. Firms that rely on those should look at the alternatives in our comparisons. The full list of what it does and doesn't do is on the facts page.

How we checked

We checked ICAI's UDIN announcement, the Income Tax Department's e-Filing help pages and the Press Information Bureau's note on the DPDP Rules on 13 October 2026. Competitor prices come from our existing comparisons, each checked against the vendor's own pricing page and linked above. MyPract facts come from our published facts page. Non-Indian tools are quoted in US dollars against MyPract's US-dollar plans. Prices exclude 18% GST.

Frequently asked questions

What is practice management software for chartered accountants?

It is software that runs the firm rather than the client's books. It holds client records, engagements and recurring compliance work, assigns tasks with due dates, records time, raises invoices, stores documents and gives clients a way to send files and messages.

Is practice management software the same as accounting software?

No. Accounting software such as Tally or Zoho Books keeps a business's books of account. Practice management software tracks the firm's own work for many clients. Most CA firms need both, plus a tax filing tool.

Do small CA firms need practice management software?

A sole practitioner with a handful of clients can manage on a spreadsheet and a calendar. Once more than one person shares the work, or due dates start slipping, a shared system with owners, due dates and time records usually pays for itself. Entry plans for small teams start at a few thousand rupees a year.

Does practice management software file GST or income tax returns?

Usually not. Filing is done on the government portals or through tax software registered as an e-Return Intermediary. Some practice tools read portal data to track filing status and notices; MyPract reads GST portal data only and files nothing.

How much does practice management software cost in India?

Published prices for Indian firms range from about ₹12,000 a year for up to five users (MyPract) to tens of thousands of rupees for the same team on per-organisation plans such as Zoho Practice Standard. Global tools priced in US dollars per user per month, such as Karbon, cost many times more than MyPract's own US-dollar plans (Startup $189/year for up to 5 users, Growing $49 and Enterprise $39 per user per year). See our pricing page and the comparisons.
