Best Task and Workflow Software for CA Firms (2026)
Short answer: There is no single best task tool for a CA firm. ERPCA and Zoho Practice are strongest if you want recurring compliance tasks to create themselves; MyPract, a global, AI-native platform that bills Indian firms in rupees, suits firms that want tasks inside engagements, with time approvals, billing from approved time, per-client staff access and an AI assistant, but it does not create the next recurring task automatically. General tools such as Trello, Asana and ClickUp win on price for tiny teams, flexibility and polish, but have no client master, DSC register, GST data or billing.
Last updated 22 October 2026. Prices and features were checked on each vendor's own pages that day and exclude 18% GST. MyPract is our product, so every competitor claim links to its source and we say where others are stronger.
Most CA firms start with a task list somewhere: a shared Excel sheet, a Trello board, a WhatsApp group with pinned messages. The question is when that stops being enough, and whether the next step is a better general task tool or a practice management tool built for CA work. This guide compares both kinds honestly. For the wider market, including tools that are more than task managers, see our pillar guide to practice management software for CA firms.
Which task and workflow software is best for a CA firm?
| Best for | Tool | Why |
|---|---|---|
| Recurring compliance that creates itself, plus attendance, Tally and WhatsApp | ERPCA | Says recurring work creates itself each period; compliance calendar, tasks and workflows in every plan[7][8] |
| Firms whose clients use Zoho Books | Zoho Practice | Recurring tasks and WhatsApp on both plans; free for Zoho Finance partners[9] |
| Tasks inside engagements, billed from approved time, with an AI assistant | MyPract | Subtasks, dependencies, Kanban and calendar views, time approvals, invoices from approved time, per-client staff access |
| Lowest published per-user price in India | Jamku | ₹1,300 per user a year from 6 users, plus a one-time setup fee[10] |
| A pure recurring-deadline tracker | Jetpack Workflow | Built around automating recurring tasks and deadlines[11] |
| Very small teams that want free and flexible | Trello | Free for up to 10 collaborators per workspace[1] |
| Teams that want polished project views and many integrations | Asana or ClickUp | Mature general tools with free plans[2][4] |
| Firms already on Zoho One or Zoho Workplace that want a generic tool | Zoho Projects | Free plan for up to 5 users; recurring tasks and timesheets on paid plans[6] |

A CA practice's work is not a set of one-off projects. It's the same returns for the same clients, month after month, plus audits that run in a fixed sequence. That shapes what matters:
- Recurring compliance. GSTR-1, GSTR-3B, TDS returns, advance tax and ROC filings come round on fixed dates for every client. The best tools create next month's tasks for you.
- Clients as first-class records. Tasks should hang off a client with a GSTIN, PAN, contacts and status, not a free-text card title.
- Sequence and review. Audit work has steps that can't start until others finish, and a partner who reviews before sign-off.
- Who sees what. Article assistants and juniors often should see only the clients they work on.
- Time and billing. If you bill on effort, the hours logged against a task should reach an invoice without retyping.
- Documents and clients. Pending documents are the most common reason a task stalls.
General task tools are excellent at 3 and adequate at 1. Practice management tools are built for 2, 4 and 5. Which matters more depends on your firm.
Are Trello, Asana and ClickUp good enough for CA work?
For many small firms, yes, at least for a while. Be honest about where they are stronger:
- Price for tiny teams. Trello is free for up to 10 collaborators per workspace, with unlimited cards.[1] ClickUp's Free Forever plan allows unlimited members.[4] Asana Personal is free for 2 users.[2]
- Flexibility. You can model any process: a board per client, a list per return type, custom fields for due dates and status.
- Polish and ecosystem. These products have years of design work, native mobile apps and large integration catalogues behind them.
- Recurring tasks. Asana can repeat a task, though its built-in repeat creates the next task only after the previous one is marked complete.[3] ClickUp lists recurring tasks on its paid Core plan, not on Free.[4]
Where they fall short for a CA firm:
- No client master. A client is just a board, list or tag. There are no GSTIN or PAN fields with format checks, no DSC register and no GST filing status.
- Time and billing live elsewhere. ClickUp's time tracking is a trial on Free and included from Core.[4] monday.com includes time tracking on Pro.[5] None of them turns approved hours into a GST invoice.
- Free tiers have limits that bite. monday.com's free plan covers 2 seats and 3 boards, and automations start on Standard.[5] Trello's free plan allows 10 boards per workspace.[1] A firm with 60 clients and a board per client outgrows that fast.
- Dollar pricing. Once you pay, you pay per user in US dollars, plus forex charges and 18% GST on imported services.
A common pattern: firms run tasks in Trello or a sheet, time in another app, and invoices in their accounting software, and the gap between those is where hours go unbilled. See our guide to tracking billable hours in a CA firm.
How does each tool handle recurring compliance tasks?
This is where CA tools and general tools differ most, and where MyPract is weaker than several rivals.
| Tool | Recurring tasks | Templates and checklists |
|---|---|---|
| ERPCA | Says recurring work creates itself each period[7] | Standard checklists[7] |
| Zoho Practice | Recurring tasks listed on Standard and Premium[9] | Not listed on the pricing page |
| Jetpack Workflow | Built around automating recurring tasks and deadlines[11] | Unlimited templates on Starter[11] |
| Karbon | Job scheduling on all plans[12] | Work templates on all plans, with limits by plan[12] |
| Financial Cents | "Auto-create work" on Scale and Enterprise[13] | Work templates on all plans[13] |
| MyPract | No: the next occurrence is not created automatically | No one-step template; AI suggests kickoff checklists |
| Asana | Built-in repeat creates the next task after completion[3] | Not checked |
| ClickUp | Paid plans (not on Free)[4] | Not checked |
| Zoho Projects | Premium and above[6] | Task blueprints on Premium and above[6] |
Jamku is widely used for compliance tracking (see MyPract vs Jamku), but we could not confirm on its own pages how it generates recurring tasks, so ask about it in a demo.
In MyPract you run each compliance cycle as an engagement with tasks, owners, due dates and dependencies, and you set up each cycle yourself. That is a real cost in a firm with hundreds of monthly GST clients. If that is your main workload, ERPCA, Zoho Practice or Jetpack Workflow will save more clicks.
What does each tool cost for a 10-person firm?
Year-one cost for 10 users, published prices, excluding GST. Indian tools are in rupees. Non-Indian tools are at their own US-dollar prices, with MyPract's US-dollar plans shown beside them; dollar prices exclude bank forex charges and the 18% GST payable on imported services.
| Tool | 10 users, year one | Basis |
|---|---|---|
| Trello Free | US$0 | Free for up to 10 collaborators and 10 boards per workspace[1] |
| Jamku | ₹16,000 | ₹1,300 per user a year, plus ₹3,000 one-time setup for teams up to 14[10] |
| ERPCA SaaS | ₹30,000 | ₹250 per user a month billed annually, minimum 5 users[8] |
| MyPract (billed in India) | ₹36,000 | One plan, every module; no setup fee in India |
| Zoho Practice Standard | ₹59,400 | ₹2,950 per organisation a month for 5 users plus ₹400 per extra user a month, billed annually; free for Zoho partners[9] |
| MyPract (US-dollar plans) | US$490 | Growing plan, per user; US$589 in year one if the one-time setup fee applies (teams of up to 14, waived if you pay during the trial) |
| Trello Standard | US$600 | US$5 per user a month billed annually[1] |
| ClickUp Core | US$1,080 | US$9 per user a month billed yearly[4] |
| monday.com Basic | US$1,080 | US$9 per seat a month billed annually; automations from Standard at US$12[5] |
| Asana Starter | US$1,319 | US$10.99 per user a month billed annually[2] |
| Jetpack Workflow Starter | US$4,800 | US$40 per seat a month billed annually[11] |
| Financial Cents Team | US$5,880 | US$49 per user a month billed annually[13] |
| Karbon Team | US$7,080 | US$59 per user a month billed annually[12] |
ERPCA's pricing page showed a new per-user SaaS price when we checked on 14 October 2026; it says existing customers keep their current rate.[8] Our ERPCA comparison has been updated to the new price. For every vendor in one place, see practice management software pricing in India.
How do the main options compare?
MyPract: tasks inside engagements, billed from approved time
MyPract is a global, AI-native practice management platform for accounting, audit, tax and advisory teams, built for cross-border teams and clients; Indian firms are billed in rupees and firms elsewhere on US-dollar plans. Work in MyPract is organised as engagements, each with a client, service line, manager, dates, budget hours and fee. Tasks sit inside engagements, with assignee, priority, due date, planned and actual hours, subtasks and dependencies, in list, Kanban, calendar and My Work views. Staff log time against tasks; managers approve it and lock past periods, and invoices are raised from approved, billable time (see invoicing clients from approved timesheets). Read-only GST portal data can turn a client's GST notices into tasks.
Owners and Admins can limit any Manager, Staff or Viewer to selected clients. That person then sees only those clients and their engagements, tasks, time, documents and invoices, everywhere in the app including reports, search and the AI assistant. That is useful for article assistants (see managing article assistants' work and access), and hard to reproduce in a general tool without a separate board per client.
Price: ₹12,000/year for the first 5 users, then ₹4,800 per user for users 6–30 and ₹4,000 per user for users 31+. Every user gets every module. Data domicile by country: a paying firm outside India gets its own instance in its country, so its database, files and server functions stay in-country. Today, with customers in India, everything runs in Mumbai (AWS ap-south-1) through Supabase. See pricing and the full module list on the features page.
Where it is weaker: no automatic recurring tasks, no one-step checklist templates, no native mobile apps, no WhatsApp integration.
ERPCA: recurring work that creates itself
ERPCA's home page says recurring work creates itself each period, tasks route to whoever has capacity, and standard checklists apply.[7] Every SaaS plan includes a compliance calendar, a client portal and mobile app, attendance and payroll, GST API and WhatsApp integration, Tally and payment collection.[8] For a compliance-heavy firm it is the strongest CA-specific task engine we checked. Detail in MyPract vs ERPCA.
Zoho Practice: recurring tasks in the Zoho ecosystem
Zoho Practice lists recurring tasks and WhatsApp integration on both plans, offers a 14-day trial, and is free for authorised, advanced and premium Zoho partners.[9] It makes most sense when your clients' books are in Zoho. Detail in MyPract vs Zoho Practice.
Jetpack Workflow, Karbon and Financial Cents: global workflow tools
All three are built for accounting firms in the US and similar markets, with templates and recurring or scheduled work.[11][12][13] They are polished, but cost US$4,800 to US$7,080 a year for 10 users, and have no Indian compliance features. MyPract's US-dollar plans come to US$490 for the same team. See MyPract vs Jetpack Workflow, MyPract vs Karbon and MyPract vs Financial Cents.
Trello, Asana, ClickUp, monday.com and Zoho Projects: general tools
Pick one of these if your firm is small, your billing already works elsewhere, and you value flexibility over CA-specific records. Trello is the simplest; Asana and ClickUp have richer views; monday.com's free plan is small (2 seats); Zoho Projects suits firms already in Zoho, with a free plan for up to 5 users and a 15-day trial of paid plans.[1][2][4][5][6]
When should you move from a general task tool to CA software?
Common signals:
- You keep a separate sheet of clients' GSTINs, PANs and DSC expiries beside the task board.
- Hours logged in one app are retyped into invoices in another, and some never make it.
- Juniors can see every client's board because restricting them is too fiddly.
- Review and sign-off happen in chat, so nobody can show who approved what.
If two or more are true, a practice tool will probably pay for itself. Our 30-point evaluation checklist helps you compare like for like, and our small-firm guide covers 1–5 person practices.
Who should not choose MyPract
MyPract is not the right task tool if:
- You want recurring compliance tasks to generate themselves. MyPract doesn't create the next monthly GST or TDS task automatically. ERPCA, Zoho Practice or Jetpack Workflow are stronger.
- You want to apply a checklist template to an engagement in one click. MyPract can't do that today.
- You only need a task board and already bill elsewhere. Trello's free plan or Asana Personal may be all you need.
- Your team works from phones. MyPract has no native mobile apps; ERPCA and the general tools have them.
- You run client communication on WhatsApp. MyPract has no WhatsApp integration; ERPCA and Zoho Practice do.
- Price decides it. Jamku costs less at published prices at every team size, and ERPCA's new SaaS price is lower than MyPract's from 7 users.
- You need US, UK or Australian tax-software integrations. MyPract has none; a local workflow tool will fit better.
How we checked
On 14 October 2026 we checked each vendor's own pricing and product pages: Trello, Asana (pricing and its Repeating Tasks app page), ClickUp, monday.com, Zoho Projects, ERPCA (home and pricing), Zoho Practice (India), Jamku, Jetpack Workflow, Karbon and Financial Cents. ClickUp's page showed both an older and a newer plan line-up; we used the newer Core price shown at the top. Zoho Projects did not show prices in the page text we could read, so we give none. Non-Indian tools are compared in US dollars at their own published prices against MyPract's US-dollar plans, with no rupee conversion; dollar prices exclude forex charges and GST on imported services. MyPract facts come from our facts page. All head-to-head comparisons are on the compare page.
Frequently asked questions
Can a CA firm run its work on Trello, Asana or ClickUp?
Yes, and many small firms do. They are flexible, polished and have free plans. What they lack is anything specific to a CA practice: a client master with GSTIN and PAN checks, a DSC register, GST filing status, time approvals and invoicing from approved time. Most firms that outgrow them move because billing and client data live somewhere else.
Which CA software creates recurring GST and TDS tasks automatically?
ERPCA says recurring work creates itself each period, and Zoho Practice lists recurring tasks on both its plans. Jetpack Workflow is built around recurring deadlines. MyPract does not create the next occurrence of a recurring task automatically, and cannot apply a checklist template to an engagement in one step.
Does MyPract have task templates or checklists?
Not as one-step templates. MyPract's AI can suggest a kickoff checklist for an engagement, and the AI assistant can create tasks after you confirm each one, but you cannot apply a saved checklist template to an engagement in one click.
Can I restrict an article assistant to certain clients?
In MyPract, yes. Owners and Admins can limit any Manager, Staff or Viewer to selected clients, and that person then sees only those clients' engagements, tasks, time, documents and invoices, including in reports, search and the AI assistant. See the features page.
What does task software cost for a 10-person CA firm?
At published prices, before GST: Jamku ₹13,000 plus a ₹3,000 setup fee, ERPCA ₹30,000 and Zoho Practice Standard ₹59,400 in rupees; Trello Standard US$600 and ClickUp Core US$1,080 in US dollars, before forex charges and GST. MyPract costs ₹36,000 for 10 users in India, with no setup fee, or US$490 a year on its US-dollar plans.
