Excel and WhatsApp Alternatives for CA Firms: Moving Off Sheets and Chats
Short answer: Most CA firms run on an Excel tracker and WhatsApp groups, and there are four ways off, from least to most change: tidy up with Google Sheets and the free WhatsApp Business app; add a general task tool such as Trello; move to a CA tool that keeps WhatsApp built in, such as ERPCA or Zoho Practice; or move to a CA tool that replaces WhatsApp for documents with a client portal, such as MyPract. MyPract does not integrate with WhatsApp at all; clients upload through a per-engagement portal instead.
Last updated 22 October 2026. Vendor features and prices were checked on their own pages that day and exclude 18% GST. MyPract is our product, so we link every competitor claim to its source and say plainly where others are stronger.
The Excel-plus-WhatsApp office is familiar: a master sheet of clients and due dates, one tab per return type, and a WhatsApp group for each client or each staff member where documents, reminders and "done" messages arrive. It is free and everyone already knows it. It also breaks in predictable ways as a firm grows. This guide is for firms deciding what to replace, what to keep, and how far to go. For the full market, see our pillar guide to practice management software for CA firms.
Why do CA firms move off Excel and WhatsApp?
The problems tend to show up together:
- Version clashes. Two people edit copies of the tracker, and nobody is sure which is current.
- Documents lost in chats. A client's Form 16 is somewhere in a group with 400 messages, on one person's phone.
- No record of who did what. A status cell says "Filed", but not who changed it or when.
- People leave with the history. When an article assistant's articleship ends, the client chats on their phone go too.
- Personal data on personal devices. PANs, Aadhaar copies and bank statements sit in phone galleries. Under the DPDP Act 2023 your firm is responsible for that data; see our DPDP Act checklist for CA firms.
- Hours never reach invoices. Time spent chasing documents isn't recorded anywhere.
None of this means Excel and WhatsApp are useless. A firm of two with 40 clients can run on them well. The question is which of the problems above costs you money or sleep.
What are the alternatives to Excel and WhatsApp?
| Option | Best for | Replaces Excel? | Replaces WhatsApp for documents? | Price (published, excl. GST) |
|---|---|---|---|---|
| Google Sheets + WhatsApp Business app | Sole practitioners and 2–3 person firms | Partly: one shared sheet with history | No, but adds labels and quick replies | Free[1][2] |
| General task tool (Trello, ClickUp, Zoho Projects) | Small firms that want boards and owners | For tasks, not client records | No | Free plans; paid from about US$5 per user a month[3][4][5] |
| ERPCA | Firms that want WhatsApp kept, with automatic reminders | Yes | Adds a client portal and app; keeps WhatsApp reminders | ₹250 per user a month, billed annually, minimum 5 users[6] |
| Zoho Practice | Firms whose clients use Zoho Books | Yes | Self-service client portal on Premium (per our comparison); WhatsApp integration on both plans | From ₹2,950 per organisation a month, billed annually; free for Zoho partners[8] |
| Jamku | Firms that want the lowest rupee price and native apps | Yes | Free client portal | ₹6,500 a year for up to 5 users; ₹1,300 per user from 6, plus setup[9] |
| MyPract | Firms that want documents out of chats and into engagements, with billing from approved time | Yes | Yes: per-engagement client portal; no WhatsApp integration | India: ₹12,000/year for the first 5 users, then ₹4,800 per user for users 6–30 and ₹4,000 per user for users 31+. US-dollar plans: Startup $189/year for up to 5 users, Growing $49 and Enterprise $39 per user per year |

Start your free trialDoes MyPract work with WhatsApp?
No. MyPract has no WhatsApp integration: it cannot send WhatsApp messages, read WhatsApp chats or receive documents from WhatsApp. If you want your practice software to message clients on WhatsApp, choose ERPCA or Zoho Practice.
What MyPract does instead is give each engagement its own client portal link. It opens only for the client contacts mapped to that engagement, after a 6-digit code sent to their email. Clients see status and tasks, upload documents and send messages, and every upload lands in that engagement's folder with version history. Portal clients are not charged as users. Our guide to collecting client documents without WhatsApp covers how firms make that switch with clients who are used to chat.
The honest trade-off: many Indian clients answer WhatsApp in minutes and an email code more slowly. Some firms keep WhatsApp for a quick "please upload" nudge and the portal for the files themselves.
Option 1: Tidy up with Google Sheets and WhatsApp Business
The cheapest change is to keep the same habits with better tools.
- One shared sheet, not copies. Anyone with a Google Account can create in Google Sheets, with revision history and view, comment or edit permissions.[1] That fixes version clashes and shows who changed a cell.
- WhatsApp Business instead of personal WhatsApp. The app is free to download and use, with labels to organise chats, automated quick replies and away messages, and up to five linked devices on one account.[2] A firm number on WhatsApp Business means chats don't leave with a staff member.
Where it stops working: every due date is still typed by hand, documents still sit in chats, and there is no link between work, time and invoices.
Option 2: Add a general task tool
Trello is free for up to 10 collaborators and 10 boards per workspace.[3] ClickUp's Free Forever plan has unlimited members and 60MB of storage, and its paid Core plan adds recurring tasks.[4] Zoho Projects is free for up to 5 users.[5] These give every task an owner, a due date and a history, with good mobile apps.
They don't know what a GSTIN, a DSC or a GST return is, so the client master usually stays in Excel. Our task and workflow software guide compares them with CA-specific tools in detail.
Option 3: A CA tool that keeps WhatsApp
If your clients will only ever answer on WhatsApp, a CA tool with WhatsApp built in may be the least disruptive change.
- ERPCA includes GST API and WhatsApp integration in every SaaS plan, alongside a compliance calendar, client portal and mobile app, attendance and payroll, Tally and payments.[6] Its home page describes WhatsApp and email reminders for pending records, sent on schedule, and says recurring work creates itself each period.[7] Its Assisted Deployment programme, priced on request, maps clients, services and recurring compliance from Excel or Tally.[6] Detail in MyPract vs ERPCA.
- Zoho Practice lists WhatsApp integration and recurring tasks on both plans, and is free for Zoho partners.[8] Our Zoho Practice comparison notes individual and bulk client messaging.
For firms whose biggest pain is chasing documents on WhatsApp, automated WhatsApp reminders are a real advantage over MyPract.
Option 4: Jamku
Jamku, from Madrecha Solutions, is a long-established rupee-priced office management tool. Its pricing page lists ₹6,500 a year for up to 5 users, ₹1,300 per user a year up to 30 users, a ₹3,000 one-time setup fee for teams up to 14, and a free client portal.[9] It has native apps, and its separate Jamku Portal product syncs Income Tax, GST and TRACES data (see our Jamku comparison). We found no WhatsApp integration documented on Jamku's own pages, so ask in a demo if it matters.
Option 5: MyPract
MyPract, a global, AI-native practice management platform that bills Indian firms in rupees, replaces the Excel tracker and moves documents out of chats:
- Client list from Excel. Import up to 2,000 clients per Excel or CSV file. Every row is checked before saving (GSTIN and PAN format, emails, phone numbers, duplicates), and you can skip or update clients that already exist.
- Engagements instead of tabs. Each engagement has a client, manager, dates, budget hours and fee, with tasks, subtasks and dependencies in list, Kanban, calendar and My Work views.
- Documents out of chats. The per-engagement client portal and document folders with version history and in-browser preview.
- Who did what. An activity log with filters and CSV export, and a trash for deleted items.
- Access by client. Owners and Admins can limit Managers, Staff or Viewers to selected clients; see managing article assistants' work and access.
- Time to invoices. Staff log time, managers approve and lock it, and invoices are raised from approved time.
- AI inside the workspace. An assistant answers from every module and acts only after you confirm; Claude and ChatGPT can be connected as agents through MCP.
- Data domicile by country: a paying firm outside India gets its own instance in its country, so its database, files and server functions stay in-country. Today, with customers in India, everything runs in Mumbai (AWS ap-south-1) through Supabase.
Price: ₹12,000/year for the first 5 users, then ₹4,800 per user for users 6–30 and ₹4,000 per user for users 31+, with no setup fee for firms billed in India and a 3-month, card-free trial that never converts automatically. See pricing and the features page.
Where it is weaker for an Excel-and-WhatsApp firm: no WhatsApp integration, no automatic client reminders, no native mobile apps, and the next recurring task is not created automatically, so monthly GST tasks have to be set up each cycle.
How do you move off Excel without disrupting a filing season?
- Pick a quiet window. Avoid the weeks before the 11th and 20th of the month, and the ITR and tax audit peaks.
- Clean the client sheet first. One row per client, with GSTIN, PAN, email and phone in separate columns. Delete duplicates.
- Import and fix rejected rows. A tool that checks every row before saving will show you which GSTINs or PANs are malformed.
- Set up the next cycle only. Don't migrate history; start with next month's GST and TDS work.
- Move document requests, not conversations. Ask clients to upload the next set of documents through the new channel, and keep WhatsApp for quick nudges.
- Set a cut-off date after which the old tracker is read-only.
Our step-by-step guide to moving a CA firm to practice software in a week covers this in detail.
Who should not choose MyPract
- Your clients will only use WhatsApp. MyPract has no WhatsApp integration; ERPCA or Zoho Practice will fit better.
- You want automatic reminders to clients. MyPract doesn't send automated client reminders.
- You want recurring compliance tasks to create themselves. MyPract doesn't create the next occurrence automatically.
- Your staff work from phones. MyPract is a responsive web app with no native mobile apps; Jamku and ERPCA have apps.
- You need attendance, Tally or payment collection. ERPCA covers these; MyPract doesn't.
- You only have a handful of clients. Google Sheets and WhatsApp Business may be enough for now.
- Price decides it. Jamku costs less at published prices at every team size.
How we checked
On 14 October 2026 we checked each vendor's own pages: Google Sheets, the WhatsApp Business app listing on Apple's App Store, Trello, ClickUp and Zoho Projects pricing, ERPCA's pricing and home pages, Zoho Practice pricing (India) and Jamku's pricing page. ERPCA's pricing page showed a new per-user SaaS price that day, replacing its earlier packages; our ERPCA comparison has been updated to match. Dollar prices are shown as published and compared against MyPract's US-dollar plans, with no rupee conversion; they exclude forex charges and 18% GST on imported services. MyPract facts come from our facts page, and head-to-head comparisons are on the compare page.
Frequently asked questions
Does MyPract integrate with WhatsApp?
No. MyPract has no WhatsApp integration. Clients upload documents and send messages through a per-engagement client portal, opened with a 6-digit code sent to their email. If WhatsApp messaging from your practice software matters to you, ERPCA and Zoho Practice both list a WhatsApp integration.
Can I import my Excel client list into practice software?
Usually, yes. In MyPract you can import up to 2,000 clients per Excel or CSV file, and every row is checked (GSTIN and PAN format, emails, phone numbers, duplicates) before anything is saved. Most CA tools offer some form of Excel import; ask how they handle errors.
Is it wrong to collect client documents on WhatsApp?
It isn't banned, but it is hard to control. Files sit on personal phones, there's no record of who received what, and a staff member who leaves takes the chat history with them. Under the DPDP Act 2023 your firm is responsible for client personal data, so a channel you can control and audit is safer.
What is the cheapest way to move off Excel and WhatsApp?
A shared Google Sheet with clear owners and the free WhatsApp Business app, with labels and quick replies, costs nothing. It fixes version clashes but not the lack of an audit trail or links between work, time and billing.
How long does it take to move a CA firm off Excel?
For a small firm, about a week of part-time effort for the client list and the next compliance cycle, if you clean the data first. See our guide to moving a CA firm to practice software in a week.
